Frequently asked questions

Where can I submit my research paper for a Robotics Forum conference?

Follow the submission guidelines and use the online paper submission form on the website. You can also email your paper to [email protected]. The paper template (sample paper) can be downloaded from the website.

How long is an oral or poster presentation?

Each presentation is scheduled for about 10 to 15 minutes, including time for questions and discussion. Bring your presentation file on a USB drive or your own laptop.

Does Robotics Forum offer poster presentation sessions?

Yes. Accepted posters are shown in the poster presentation session and included in the conference proceedings. The recommended poster size is 36 × 48 inches (3 × 4 feet). Bring a printed poster, put it up before the conference starts and take it down after the poster session.

Can I present online instead of attending in person?

Yes. Robotics Forum conferences are held in a hybrid format. Virtual presenters present by video conference (Zoom) for up to 10 minutes; choose the virtual presenter fee when you register.

Where will my accepted paper be published?

Accepted and registered papers are considered for the official conference proceedings, and each paper is assigned an online DOI registered through Crossref. Extended papers can also be sent to an associated international journal on the author's written request; the journal reviews the paper and charges its own publication fee.

When will I receive my registration payment receipt?

An official receipt for the registration fee is given at the onsite registration desk at the venue. If you need an electronic receipt before the event, contact the conference secretariat.

How can I request an invitation letter for my visa?

Registered authors and participants receive an official invitation letter by email on request. Robotics Forum supports the visa documents, but only the embassy or consulate decides on the visa. Apply early, as processing times vary.

Is it compulsory to stay at the conference hotel?

No. Staying at the conference hotel is optional. You can book any accommodation that suits your preferences and budget.

Does Robotics Forum provide accommodation or travel arrangements?

Participants book their own travel and accommodation. Where possible, Robotics Forum may recommend hotels or help with accommodation, subject to availability.

What payment methods are accepted for registration?

Pay securely online by credit or debit card. Payment instructions are on the conference page and in the acceptance notification.

What should I do if my online payment fails?

You can complete your registration by bank transfer or cash deposit, where available. The bank details are in your acceptance letter. For help, email [email protected].

Can I get a refund if I cancel?

No. If you cancel your registration, the registration fee is not refunded, and no refund is possible after an official invitation or visa letter has been issued. See the rules and regulations for details.

How can I become a Robotics Forum member?

Download and fill in the membership application form, then email it with your updated CV to [email protected]. Membership requests are usually reviewed within three working days.

How do I become a member of the Robotics Forum committee?

Send your updated CV to [email protected]. The committee evaluates the application, and eligible applicants receive a reply within three working days.

How can I collaborate with Robotics Forum to organise a conference?

Send a conference proposal for review. Once it is approved, send the conference title, technical themes, research tracks and the proposed organising and programme committees. Approved organisers may qualify for registration fee exemptions and other benefits.
